Calendar integration

Synchronize your iCasework case, task, and correspondence deadlines into your Outlook or Google calendars, so you can plan your time and ensure you meet your deadlines.

How it works

Calendar integration is available in iCasework v9.0 onwards. If you are on an older version, please contact our helpdesk to upgrade. Your iCasework system administrator will need to enable calendar integration on your system, by going to Administration >> Calendar integration, and checking the box to allow your system to integrate. Before they can do this, your IT team will need to follow the steps below to give iCasework the relevant access and permissions.

Once the setup is complete, users can enable calendar integration on their profile by going to Me >> Preferences and then selecting the type of items you want to synchronize with your calendar.

After enabling calendar integration, newly created or reassigned iCasework items should start to appear in your calendar in realtime. The system will also do a daily sync of all of your items to ensure nothing is missed.

Setting up Calendar integration with Microsoft Office 365

The iCasework Calendar connector uses a central Group calendar to add and remove all items and will use invitations to add items to users' personal calendars.

Setting up the connector involves working in your Office 365 and Microsoft Azure Admin portals - you will need to have permissions to access the screens below in iCasework and Office 365 / Azure Portal, and an administrator account may be needed to grant the required permissions.

The iCasework Calendar connector requires the use of Microsoft Graph API, and the delegated permission flow, and so requires the use of OpenID based SSO using Microsoft Azure Active Directory. The below guide covers the setup of the required Azure Group.

If you have already set up the https://icasework.atlassian.net/wiki/spaces/UsefulFeedback/pages/287342603 then you will have already completed the steps below, and so can just enable the Calendar integration in iCasework Administration. Please reference Point 2 below.

If you don’t plan to use Word 365 the please follow the instructions below. You must have Open ID based SSO set up already.

If you have set up OpenID based SSO set up but have set up Office 365 word integration using the application permission flow. Then you will also need to follow the instructions below to set up an additional Office 365 group and add the required delgated access permissions to your app registration.

  1. Log in to https://portal.office.com then click on the Admin icon. Navigate to Groups. Click on Add a group. Select Office 365 Group. Give the Group a name and a description, select a Group owner. Select Privacy: “Private - Only members see group content”, then click Next to add the Group - you can add additional owners or Group members at this point, or you can do this later.

  2. Log in to https://portal.azure.com, navigate to the Azure Active Directory section, then click Groups. Access the new group and copy the Object ID into the Calendar integration screen. This can be found in Admin - System-wide - General settings - Calendar integration

  3. In the API Permissions section of your iCasework registration, click Add a permission. Select Microsoft Graph >> Delegated permissions. "Type to search" for the permission: Group.ReadWrite.All, which will give iCasework permission to write to the Group Calendar via the Delegated permission the user has as a member of that group.

  4. Once the permission is added, you will need an Azure Admin to click on the "Grant admin consent ..." button, both in App registrations >> [Your App] >> API permissions, and also in Enterprise applications >> [Your App] >> Permissions, where an Enterprise application will have been created as part of the App registration process.
